Feature Overview
Workspaces
A workspace is the central organising unit in Disclosure Management. Each workspace contains all the documents, reports, data connections, users, and configurations for a given reporting project, for example, a quarterly 10-Q, an annual ESEF report, or a regulatory submission.
- Create workspaces for each reporting cycle or team and manage all related files in one place.
- Add users to a workspace and assign them roles: Administrator, Owner, Write, or Read that control what each person can see and do.
- Upload files from the Office Add-in.
Report Authoring
Reports in Disclosure Management are Word documents registered within a workspace as disclosure artefacts. Once registered, the full Disclosure Management authoring feature set becomes available in the Word ribbon.
- Register any Word document as a report to unlock structured authoring, outline management, dynamic content, and XBRL tagging.
- Define a report outline by mapping the document's heading structure to sections. The outline drives section-level workflow assignments, roll-forward structure, and XBRL tagging scope.
- Compare any two versions of a report including prior-period equivalents to see exactly what changed in narrative and data between revisions.
- Publish revisions of reports to create an explicit version record for compliance and audit purposes.
Dynamic Variables
Variables are centrally managed values that can be inserted into reports, Excel workbooks, and PowerPoint presentations as dynamic content. When a variable's source value changes, it updates everywhere it has been inserted, eliminating copy-paste errors across a filing.
- Create variables from numbers, text, tables, charts, and images in Excel, then insert them into Word reports or PowerPoint decks.
- Variables can be scoped to a specific report or an entire workspace, giving you control over which content is shared across files and which stays local.
- Refresh all variable instances in a document to pull the latest values from their source files.
- Review each variable instance individually, approve or reject values before finalizing a report.
- Variables inserted in Word, Excel, and PowerPoint all draw from the same source, keeping figures consistent across the full filing package.
Data Queries
Data queries connect Disclosure Management directly to your source financial systems, allowing live data to flow into reports and supporting spreadsheets without manual re-keying.
- Build data queries on the Disclosure Management website that pull from connected source systems within Reporting Intelligence and expose the results as Business Views ready for use in documents.
- Insert data query results into Word documents as inline values or formatted tables, and into Excel workbooks as linked data ranges.
- Set a data refresh schedule on the website to keep query results current automatically, or refresh on demand from the ribbon in Word, Excel, or PowerPoint.
- Apply filters to data queries to scope results by period, entity, currency, or other dimensions defined in your source system.
Review Workflows
Disclosure Management includes a milestone-based workflow engine that routes disclosure documents through defined review and approval stages, with full visibility of status at every step.
- Create workflow templates on the Disclosure Management website that define the review stages, assignees, and progression rules for your reporting process.
- Submit a report for review directly from the Word Add-in. The report status updates and assigned reviewers are notified.
- Reviewers use standard Word commenting and tracked-changes tools alongside the Disclosure Management workflow panel to annotate and approve or reject each section or the full document.
- Workflow status, assignee, and due date are visible in the Disclosure Management dashboard, giving managers a real-time view of where each report stands in the process.
- Revision history is retained across all workflow cycles, recording who changed what and when through the power of Disclosure Management Audit and SharePoint.
XBRL Hub
The XBRL Hub is Disclosure Management's built-in interface for applying inline XBRL (iXBRL) tags to report content. It supports SEC (US GAAP and IFRS), ESEF, and EBA regulatory frameworks.
- AI-assisted tagging suggestions are generated automatically for the report's numeric facts and narrative content, with confidence scores and taxonomy concept details to support informed decisions.
- Filter the tagging view by period, element role, and dimensional context to focus on the relevant subset of concepts for any given section.
- Manage taxonomy extensions: create custom concepts, define labels, configure dimensions and axes, and set anchoring relationships directly within the XBRL Hub.
- Run validation against the full set of applicable XBRL transformation rules and regulatory requirements before generating the final instance document.
- Generate and download the iXBRL instance document for submission once tagging and validation are complete.
Roll Forward
Roll-forward eliminates the need to rebuild a report from scratch each period. The structure, outline, variable definitions, data query bindings, workflow templates, and XBRL tag assignments from a prior period are carried forward into a new report that is ready for the next cycle with minimal setup.
- Initiate rollforward from the Disclosure Management dashboard with a few clicks. Specify the new period, choose whether to carry forward or reset variable values, and confirm.
- Rollforward runs as a background activity. You can continue working while it completes and receive a notification when the new report is ready.
- After rollforward, refresh data queries and variables to populate the new period's figures, then focus on updating narrative content rather than rebuilding structure.
Audit Log
Disclosure Management maintains a complete, tamper-evident record of all actions taken within a workspace, providing the traceability and accountability required for regulated disclosure processes.
- Every user action is logged: document edits, variable refreshes, data query executions, workflow transitions, XBRL tag changes, and permission updates.
- Filter the audit log by date range, event type, and user to quickly locate the history relevant to a review or compliance query.
- Export the full audit log to Excel for archival or submission as evidence of process controls.
Resolved Issues
The following issues identified during the Beta program have been resolved in this GA release.
Variables
- Selecting Edit Variable from the contextual menu in the Insert Variable panel was not opening the edit form correctly. Users were required to navigate to the variable through the Variables tab to edit. This has been resolved.
- Navigating between variables in the Show Variables panel was triggering an unintended page refresh, interrupting the review flow. Navigation now operates without page reload.
- Variable list in the side panel was applying case-sensitive alphabetical sorting inconsistently when using extended character sets. Sorting is now consistent.
- The Cancel button was missing from the Create and Edit Variable panel in certain configurations. The button is now present as expected in all variable management flows.
- Source variables for power users were not appearing in the Insert Variable dropdown under certain workspace permission configurations. This has been corrected.
- Accepting a tag suggestion was overriding manual edits a user had made to the tagged content immediately before accepting the suggestion. User changes are now preserved correctly when a suggestion is accepted.
Data Queries
- When creating a data query using an Excel source file, if the Worksheet field was cleared or changed, the subsequent filter configuration step displayed an incorrect or empty state. The form now resets correctly to match the selected worksheet.
- Business data in the Data Queries tab of the workspace was sorted incorrectly in some list views. Sorting now applies consistently.
- After a data query creation attempt returned a "file already exists" error, the reset flow was presenting the wrong form step, without the expected navigation controls. This has been corrected.
- The Last Modified Query sort option in the Data Queries workspace tab was not correctly placing the most recently modified item at the top. This is now resolved.
- The Last Modified and Created By filter controls in the Data Queries tab were not retaining state correctly between sessions. These filters now persist as expected.
Workflows and Access Control
- In certain scenarios, revision history entries were visible to users with Viewer or Designer (read-only) roles despite those roles not having access rights to revision data. Revision visibility is now correctly gated by role.
- Viewer-role users could be added as reviewers in workflow configuration, which would result in reviewers with insufficient permissions to complete their assigned actions. Viewer users are now excluded from the reviewer selection list.
- Users newly added to a workspace were occasionally unable to access workspace documents immediately after being granted access, due to a timing issue in the permission propagation process. Access is now granted promptly.
XBRL Hub
- XBRL tag suggestions were displaying a role mismatch between the suggestion tool tip and the Concept Details panel. The role shown is now consistent across both surfaces.
- The More Suggestions feature was returning an incorrect role URI for suggested concepts, which could cause downstream validation failures when applying the suggestion. Role URIs are now correctly resolved.
- XBRL tag suggestions were being generated for non-fact content such as percentage signs, currency symbols, and mathematical operators. Suggestions are now correctly scoped to numeric fact values only.
- The Filter by Type > Monetary option in the More Suggestions panel was not filtering results as expected. Monetary filtering is now functional.
- The Filter by Type > Extensions option was not functioning in the tag filter panel. Extensions filtering is now applied correctly.
- Creating a taxonomy extension was taking longer than three minutes in some configurations, blocking the tagging workflow. Extension creation performance has been significantly improved.
- After applying an extension tag, a "Tag Applied Successfully" confirmation was shown prematurely, before the extension creation process had completed. The confirmation now reflects the actual completion state of the operation.
Platform and Authentication
- Keyboard navigation in the Scope Builder tree within the Create and Edit Variable panel did not support standard arrow-key traversal. Keyboard navigation is now fully functional, improving accessibility.
- In some multi-role configurations, duplicate user role entries were being created in the system when a user held different roles across workspaces. Role records are now managed correctly without duplication.
- The Advanced Search filter in the Report Details page was returning results across all data sources and report scopes rather than scoping correctly to the active report. Filtering is now correctly scoped.
- When working in documents outside the Disclosure Management managed environment (non-Lineos DM documents), certain Lineos DM ribbon actions were producing error messages instead of being silently unavailable. These actions are now correctly suppressed in non-managed document contexts.
- Report outlines were not being generated for a subset of reports that used certain heading configurations. Outline generation now handles these document structures correctly.
- An authentication configuration issue was causing the add-in to reference a staging environment endpoint in some deployment configurations. The correct production endpoint is now enforced.
